Information you provide
We collect the details you enter in our forms: name, email, company and country for a quote; phone and comments if you choose to add them. The quote builder also records services, quantities, currency and billing. A question only requires your name, email and message. Do not include passwords, identity documents or sensitive information.
How we use your information
We use these details to reply, understand your needs and prepare a proposal. Where applicable, processing is based on pre-contractual steps you request or your authorisation to handle an enquiry. This form does not subscribe you to advertising. Security controls are limited to preventing abuse and protecting the service.
Access and providers
Requests are stored in WordPress first, with access limited to authorised team members. When internal notifications are enabled, Zoho CPaaS / ZeptoMail sends our mailbox the contact details, message, services and amounts, authorisation and a link to the private record. Keys and verification tokens are not included. An email failure does not delete your request or require you to submit it again. Hosting, backups and site protection use the providers contracted for those functions; Cloudflare provides site security and distribution. The mailbox and email provider may retain copies: deleting the WordPress record does not delete those emails. Retention and data-rights reviews cover these copies too. Forms are not connected to a CRM or Zoho Bookings. We do not sell your details or use them to subscribe you to advertising. You can request information about providers and processing at [email protected]. The site is hosted on Atlas in the United States.
Spam verification
Google reCAPTCHA v2 loads automatically in Contact and quote forms to prevent abuse. Your browser connects to Google, which may process connection, browser and interaction data and use cookies under its policies. Server verification sends Google the verification token without attaching form details. Complete the checkbox before submitting. You can also contact us by email or WhatsApp.
12-month retention
Enquiries and quotes that do not lead to a contract are retained for 12 calendar months from our last actual contact with you. An administrative edit, website visit or internal review does not restart that period. We review expiry dates and delete expired records through a supervised process. You can request earlier review or deletion at [email protected]. This is our commercial enquiry policy, not a general statutory period for all documents.
Contracts and justified exceptions
If you purchase a service, we distinguish information needed for the relationship from the commercial enquiry. Only necessary information is retained during that relationship and any applicable mandatory periods. A claim or legal duty may justify keeping particular documents longer; the exception is documented and reviewed, and does not authorise new marketing use. Sending a proposal alone does not justify keeping an enquiry indefinitely.
Deletion and backups
Deletion of the active record covers its contact details, messages and quote. A minimal log with a random identifier and deletion date, without copying names, email or messages, may be retained to control restores. Backups have restricted access and are not used to handle enquiries or for advertising. Deleting a WordPress record does not immediately remove it from an older backup; those copies are retired under the service’s backup rotation and deletion schedule. If a copy still contains deleted information, deletions must be reapplied before a restored service reopens. The minimal log is reviewed while affected copies may still exist; it is not kept for new marketing activity.
Your requests
Email our business address to request access, correction or deletion and, where applicable, restriction, objection or portability. If processing relies on consent, you can withdraw it without affecting earlier lawful processing. We verify requests proportionately and will not request sensitive documents unless necessary. Your right to complain to the relevant authority remains unaffected.
External channels and changes
WhatsApp and your email application open only when you follow their links and are subject to their providers’ policies. Do not send unnecessary data through those channels. Handling your data-rights requests must also cover external channels where information has been retained. We will update this notice when forms, providers or purposes change; the published version must reflect how the site actually operates.
